Respond to Surveys: The Provider's Workflow

Use the ability to respond to the Patient Satisfaction Surveys submitted by your patients as an extension of the services you provide in your exam room.

Your response to a given patient's feedback displays within your provider profile on Healthgrades.com, directly in-line to the specific patient's comments.

Respond to a Patient Survey

Unsure how to approach responding to patient surveys? Check out these best practices.

  1. Go to the Healthgrades Physician Portal sign-in page and sign in to your Healthgrades account.
  2. In the sidebar, choose the star icon and navigate to Patient Experience > Patient Reviews. The Patient Experience Reviews page displays all surveys submitted for you.
  3. For a survey to which you want to respond, choose Reply. The patient’s complete survey response expands along with a free-text field where you can enter your response.
  4. In the Reply to the Comment field, enter up to 500 characters of free-text as a response to the patient’s submitted survey. 
  5. Choose Save. Once you save your text, it is submitted for review by Healthgrades before we post it publicly on Healthgrades.com.
  6. Once you submit a response, a filled-in Replied icon displays for that specific survey. 

Flag a Survey

If you are concerned the content of a given patient-submitted survey violates our Editorial Policy, you can request Healthgrades to review the survey for potential removal. 

Although you can flag a review, Healthgrades makes the final decision regarding removing it from your profile.

  1. Go to the Healthgrades Physician Portal sign-in page and sign in to your Healthgrades account.
  2. In the sidebar, choose the star icon and navigate to Patient Experience > Patient Reviews. The Patient Experience Reviews page displays all surveys submitted for you.
  3. For the survey you want evaluated for removal, choose Flag
  4. When prompted, choose one of the following reasons for flagging the survey:
    • Profanity
    • Libelous
    • Privacy Concern
    • False Allegations
    • Spam
    • Other. Enter up to 250 characters of free-text describing your reason for flagging the survey.
  5. Choose Submit
  6. Once you submit, a filled-in Flagged icon displays for that specific survey.

Edit Your Previous Response

You can make edits to your previously submitted response to a patient's survey.

  1. Go to the Healthgrades Physician Portal sign-in page and sign in to your Healthgrades account.
  2. In the sidebar, choose the star icon and navigate to Patient Experience > Patient Reviews. The Patient Experience Reviews page displays all surveys submitted for you.
  3. For the survey for which you want to edit your response, choose the filled-in Replied icon. The patient’s complete survey response expands along with your previous response.
  4. In the Your Reply field, choose Edit. The field changes to an editable field. Adjust your text as needed.
  5. Choose Save. Once you save your updated text, it is submitted again for review by Healthgrades before we post the altered response publicly on Healthgrades.com.

Remove Your Response

You can remove your previously submitted response to a patient's survey.

  1. Go to the Healthgrades Physician Portal sign-in page and sign in to your Healthgrades account.
  2. In the sidebar, choose the star icon and navigate to Patient Experience > Patient Reviews. The Patient Experience Reviews page displays all surveys submitted for you.
  3. For the survey for which you want to remove your response, choose the filled-in Replied icon. The patient’s complete survey response expands along with your previous response.
  4. In the Your Reply field, choose Remove
  5. When prompted, confirm you want to remove your public response.
